Mount Hamilton Youth Soccer Club operates as a non-profit soccer club in the Hamilton Soccer district
offering indoor and outdoor programming since 1964. MHYSC is committed to providing a holistic
development program to all children and youth aged u3 – u18. MHYSC is committed to operating and
delivering programs at the highest possible standards. We work to exceed the customer service
expectations of all clients, including athletes, coaches, and parents.


Mount Hamilton Youth Soccer Club is currently seeking candidates for the Administration
Coordinator position. As part of the administration team, you will assist customers with
registration and queries, as well as assisting our teams with overall team administration. You will
liaise with the General Manager seamlessly to create an efficient work environment with a focus
on providing exceptional customer service. You will provide administrative support for all
Grassroots, Competitive, and Technical MHYSC programs, courses, and initiatives.

position involves customer & community interaction daily, so it is vital that problem solving,

Primary Duties and Responsibilities.

1. Client Services and Communication Responsibilities
• Serve every client positively, professionally, and efficiently with a customer first attitude.
Process and assist clients with all technical program registration, including payments, questions,
and/or concerns.
Manage player and team official requests and inquiries for MHYSC programs including
Recreation, Grassroots and Competitive

2. Administrative Responsibilities
• Manage all aspects of Recreational, Grassroots, Competitive player registration and

Support with all Recreational, Grassroots and Competitive field and facility bookings.

Support all Recreational, Grassroots and Competitive uniform orders.
Oversee player and team official league registration in accordance with the timelines and
processes prescribed by our governing body.
Recruit and manage all volunteer coaches for the clubs Recreational program.
Maintain records of all volunteer personnel files including tracking coaching certifications,
police record checks, etc.
Manage TEP/TRP, deregistration forms, and other related technical program documents.
Manage Application to Travel, Applications to Host Exhibition Games, Tournament
Applications and all other competitive team paperwork requirements.
Support with all Accounts receivable collections, utilizing the QuickBooks

3. Scheduling

Develop all Recreational, Grassroots and Competitive technical field schedules.
Input all schedules into Power Up and keep them up to date prior and throughout the different

4. Event Management
• Support, organize and manage MHYSC events including, but not limited to: Club Discovery

Sessions, Tryouts, Ontario Cup Hosting and Grassroots Festivals.
Build overall project work plan(s) to be approved by the General Manager
Recruit volunteers to meet the resource requirements of the events.
Manage the assigned budget for the event and work within that budget.
Support and liaise with all MHYSC staff and volunteers on a variety of tasks, as needed.

5. Other duties as may be assigned from time-to-time by the Technical Director.

6. Qualifications. The following would be an asset, however not a requirement for

• University Degree or College Diploma in Sport Management, Recreation and Leisure or

related education.
Minimum of two years’ experience of working in a non-profit or sport environment.
Knowledge of QuickBooks
Knowledge of Power Up
Knowledge of Ontario Soccer’s OSCAR registration system
Enthusiastic, adaptable, and works well in a fast-paced environment. Must be a self-starter
Serve clients positively, professionally, and efficiently
Has a strong attention to detail
Is a quick learner and proficient using a computer
Possesses solid knowledge of MS Word and MS Excel.
Must clear a criminal record check and vulnerable sector search (Required)
Valid Driver’s License (Required)
This position comes with a competitive fulltime salary based on experience and qualifications.

Standard hours of work will be Monday to Friday, 9am – 5pm, However during peak periods
throughout the year there will be some evening and weekend work required.
