Reporting to the General Secretary, we are looking for a versatile and highly organised personal assistant to perform personalised administrative duties for the executive office. In this role, you will be responsible for scheduling meetings, taking notes, and handling correspondence on behalf of the General Secretary. You may also be required to make travel arrangements and assist with other duties when required. To ensure success as a personal assistant, you should exhibit excellent organizational skills and demonstrable experience in a secretarial role. Accomplished personal assistants are intuitive to the needs of the executive office and work autonomously to provide customised administrative support.
Typing, formatting, and editing reports, documents, and presentations.
Entering data, maintaining databases, and keeping records.
Liaising with internal departments for organisation-wide programmes
Coordinate official overseas travels when needed – including arranging visas, travel itinerary, accommodation, transportation, and flight bookings.
Scheduling of appointments and meetings (local and overseas) and compilation of meeting papers, including recording of Minutes of meetings.
Managing internal and external correspondence on behalf of senior management, including with regional and global bodies like the FIFA, AFC and other football federations.
Scheduling appointments, maintaining an events calendar, and sending reminders.
Copying, scanning, and faxing documents, as well as taking notes.
Preparing facilities for scheduled events and arranging refreshments, if required.
Observing best business practices and etiquette.
Provide secretarial support to President/Exco, where necessary eg. Responding to faxes, coordinate overseas logistical arrangements, etc.
Any other duties as assigned by the General Secretary, Football Association of Singapore
