Charlton Athletic Football Club are currently recruiting an Operations Administrator to join our team. We are looking to invest our time in someone who is practical, hands-on and enthusiastic who is looking to progress in their career. We are undergoing amazing organisational growth, and this is a fantastic time to join the team as you will be able to stamp your mark on what we do.

This position supports the operations team to allow for effective and efficient running of the stadium site on Matchdays and Non-Matchdays. The role requires the individual to ensure that they are following the brief provided to them, and that these are done to support the team and the business.

The Operations Administrator’s role is to ensure any administration is completed to the highest standard which in turn enhances the Club, Stadium and Training Facility assets. They are responsible to achieve and maintain excellent and efficient standards of operational administration.

The person should have an outgoing personality, able to self-motivate and communicate with others in a consistent and professional manner. A polished professional with the proven ability to develop strong relationships at all levels.

Key Responsibilities:

Supports the administration of soft services and maintenance operations at The Valley and at the Sparrows Lane Training Ground (TG).
Proven written communication, presentation and report writing skills;
Proactively creating work rotas to improve where possible.
Assist in administration of matchday operational plans.
Ensure the Facilities and Health and Safety Manager is effectively briefed on key issues;
Attend meetings to complete minutes in the highest confidentiality.
Proactively investigate ways to improve the current administration and improve on this once consulted with your line manager.
Work collaboratively with the rest of the team.
To assist with the logging of expenditure for both sites.
To assist in the production of supporting financial information and update both manual and electronic records.
To undertake general office duties relating to all contracts including:
o Correspondence and filing;

o Minutes of meetings;

o Preparation of reports and documentation;

o Updating of electronic records;

o Subcontractor’s administration;

o Raising purchase orders and ensuring that purchase orders are updated when changes required;

= Cover help desk and reception duties as required.

= Update the approved contractors list regularly, including reviewing this and informing other team members if any part is about to expire.



MAIN JOB REQUIREMENTS AND PERSON SPECIFICATION

Education/Qualifications/Training:

Good IT skills; Microsoft Office Word, Excel, Access, Outlook (email), Internet (E);
Must have good administrative and organisations skills, and be able to prioritise workload (E);
Strong numeracy skills (E);
Excellent telephone manner (D);
Must be a self-starter, and able to be extremely flexible with regards to daily work (E).
