Job Summary

Tottenham Hotspur is a world famous football club based in North London. Off the pitch, the Club has a strong and successful business model centered around building a platform for long-term success.
An exciting opportunity has arisen for a pro-active, organised and driven candidate to join the Club as an Executive Assistant. Reporting into the Chief Commercial Officer, the successful candidate will be responsible for the pro-active management of the Chief Commercial Officer’s office.
In addition, each of our Executive Assistants has an area of focus. This role will also manage our company fleet.

Key Responsibilities

Provide comprehensive support to the Chief Commercial Officer. This will include, but is not limited to: diary, calendar and inbox management, managing and following up on enquiries, scheduling appointments, travel arrangements, greeting guests and prospects, research and producing biographies.
Liaise with the Chairman’s office to coordinate VIPs attendance at matches and produce itineraries. Organise gifting when requested.
Coordinate department meetings (meeting room bookings, logistics, agenda setting and note taking for all key meetings internally and externally, highlighting action points and driving follow up process).
Minute taking at the Club Senior Management meetings.
Process expenses, raise POs, invoice reconciliation, and management of payments.
Act as an ambassador for the Club, proactively managing relationships both internally and externally. This will include some match day attendance and weekend work.
Support with ad hoc projects when required.
Support the Head of Legal with raising POs, invoicing, and budget management.
Handle high levels of confidential information with discretion.

Responsible for all aspects of managing the company fleet to include but not limited to:

Coordinate pool car usage across Club sites.
Budget management, processing invoices, raising POs and budget approvals.
Liaise with key stakeholders internally & externally to include department leads, insurers, suppliers, and manufacturers.
Coordinate taxing, insurance claims, servicing, and recovery for fleet vehicles.
Manage congestion charge and dart charge.
Monitor petrol usage and mileage.
Negotiate fleet and rental deals with suppliers.

Skills & Experience

Experience as an EA or Senior Administrator to members of senior management, in a fast-paced environment
Able to show flexibility and work out of office and unsociable hours during peak periods of business
Exceptional organisation and prioritisation skills
Ability to multi-task and manage time successfully, particularly when looking after more than one senior member of staff
Excellent knowledge of PowerPoint and Microsoft office skills
Good level of proficiency on Apple Macs
