ROLE DESCRIPTION

POSITION OVERVIEW
The Peel Halton Soccer Association (PHSA) is a not-for-profit corporation comprised of a community of clubs, leagues, players, administrators, coaches and volunteers. Our mission is to provide opportunities for any person in Peel Halton to participate in organized soccer and Futsal in any role of their choosing and to assist all participants in reaching their potential within a well-managed, cooperative and progressive soccer environment.
Reporting to the Manager, League Operations, the successful candidate will bring strong customer service skills, coupled with administrative experience to serve the membership of the District by executing the operation of its outdoor, indoor and futsal soccer leagues. These leagues include the Golden Horseshoe Soccer League (GHSL), Peel Halton District League (PHDL) Youth, Development, Adult Futsal and Ontario Premier Futsal League (OPFL). In collaboration with all PHSA staff and member clubs, will administer and enforce established rules and regulations of the District, in addition to policies and requirements of governing organizations such as Ontario Soccer. Attention to detail will be an integral part of this position.
KEY RESPONSIBILITIES
Day-to-Day General Duties:1. Respond to inquiries received via phone and email or forward as appropriate.2. Communicate with Clubs on an ongoing basis regarding all info,deadlines, and upcoming events etc.3. In conjunction with Manager, League Operations ensure PHSA website and all PHSA Social Media (Twitter/Facebook) are active and up-to-date.4. Attend meetings when requested/required.
Pre-Season Duties:1. Process all team registrations as they are received invoice clubs accordingly.2. Record process all entry fees as they are received.3. Keep an ongoing list of Team Registrations by Division.4. Along with Manager, League Operations: collect Field Information from all Clubs review all field availability submitted by Clubs to ensure it meets league requirements meets minimum needs of the clubs registered teams ensure Clubs assign Team officials in the system for all teams.
Scheduling Duties:1. Set-up all Divisions for the current year and ensure all required parameters have been entered in the system: night of play, game numbers, season start date, number of games, etc.2. Ensure all teams are assigned to the correct Division.3. Ensure a field has been assigned to each team by the Club within the system.4. Generate schedule for each Division.5. Work with PHDL scheduler to create festival schedule and communicate such to clubs.6. Generate League Cup for each division and merge into division schedules.7. Address any double bookings.8. Move any games that conflict with Approved Team Exemption dates.9. Once schedules are complete, issue to Clubs for their review and to outline any issues or changes needed before final approval.
In-Season Duties:1. Review any rescheduling requests received and reply with decision.2. Reschedule all cancelled games. Notify parties when fields are closed, work with club field schedulers to reschedule any cancelled games, communicate with referee assignors and keep them up-to-date.3. Monitor all preliminary League Cup games and as winners are declared schedule the next round as necessary.4. Create League Cup Finals Schedule advise Clubs/teams, provide to referee assignor, organize delivery of trophies and any other required equipment to location.5. Follow up on referee no-shows, complaints, concerns, and missing discipline reports. Keep ongoing list and forward to District Referee Coordinator for review.6. Record all fines and penalties as per Ontario Soccer rules and issue invoices to Clubs.7. Assist with tracking and handling disciplinary matters as needed.
Post-Season Duties:1. Organize Awards Presentation Create schedule of presentation times, advise Clubs/Teams and organize delivery of medals and all other required equipment.2. Send final Invoice to each club outlining all fees/fines applied during the season. If Club has outstanding balance. Provide deadline date to submit payment (prior to AGM).
Other:1. As necessary, support other PHSA staff in the execution of their job responsibilities.2. Inform the Executive Director of any concerns or issues which could negatively affect theoperation of the District.3. Other duties as assigned by the Manager, League Operations and Executive Director.
EXPERIENCE AND QUALIFICATIONS
Post-Secondary education, preferably in Administration, Business or Sport Management Strong knowledge and understanding of the structure of soccer in Ontario Operational knowledge of the PHSA and its member clubs is considered an asset Must be a self-starter with great customer service skills and high attention to detail Experience administering sports leagues including scheduling games and overseeing discipline Excellent computer skills including MS Office and various league software and programs Highly organized and flexible with the ability to multi-task and meet changing deadlines Able to work flexible hours including evenings and weekends when necessary to communicate critical information
