ROLE DESCRIPTION

Title: Club Administrator
Reports to: Operations Manager
The Woodbridge Soccer Club (WSC) is a not-for-profit organization, established in 1976 to provide an opportunity for any person in the City of Vaughan to play soccer in an encouraging and rewarding environment that emphasizes fun, teamwork, and skill development. WSC offers a variety of indoor and outdoor programs for a range of age groups which include our recreational league, high performanceprograms, competitive programs, and camps. WSC is looking for a dedicated and responsible Club Administrator to join our team. Under the direction of the Operations Manager, the Club Administrator will oversee the administration of all high-performance programs and will professionally represent WSC both within and with external service providers and stakeholders. Responsibilities include general office administration, high performance management, marketing, and sponsorship.
Duties:
GENERAL ADMINISTRATION This position will assume all administrative operations for WSC Rep and High-Performance Programs Answering phones and responding to emails in an efficient manner, re-directing as required. Contributes to team effort by accomplishing related results as needed. Liaise with governing bodies (CSA, OSA, YRSA OPDL and League1) Provide support when needed for club events, including but not limited to festivals, house league picnics, Woodbridge Classic Tournament, banquets, etc. Work with and support a variety of Board Members and Volunteers Assist Operations Manager and Woodbridge SC Board Members with other general tasks as required.
CLUB ADMINISTRATION Ensure compliance with OPDL, IModel, and League1 Operational Rules Registration of all players and team officials in OSCAR Manage player and team official card processing at YRSA. Manage all permit processing at YRSA (exhibition games/Travel Permits/tournaments) Process Rep and OPDL team payment requisitions and submit to Treasurer in a timely manner. Maintain and reconcile all Rep and OPDL Team Accounts and Payments Responsible for submission of any OPDL Assessments and Action Plans Maintain E2E system for all OPDL teams including development roster. Maintain accurate records of all Rep and OPDL Player and Coach information and licensing. Responsible for any game day roster changes/requests made by teams. Coordinate scheduling of all home games in collaboration with coaches and Operations Manager Train and oversee part-time staff. Complete training and review of processes with all coaches/managers of these teams to ensure compliance league rules. Manage communication between WSC teams and Rep and OPDL League Management Attending administrative meetings and workshops when required and submitting report to Operations Manager with necessary information. Guide the coaches regarding their responsibilities with respect to the OSA and all league programs to ensure that a consistent and high standard is maintained.
Qualifications:
Strong customer service skills.
Previous office administration experience with strong computer knowledge
Knowledge of OSCAR, Power Up and E2E systems
Capability to work with a wide range of individuals.
Ability to work independently and with little or no supervision.
Effective written and verbal communication skills in English.
Strong planning and administration skills.
Self-reliant and entrepreneurial.
An interest in and knowledge of soccer operations in Ontario is an asset
Exceptional organizational skills with the ability to handle multiple and sometimes conflicting deadlines.
Post-Secondary education in sports management or business administration is an asset.
Experience with admin work involving youth soccer organizations.
CompensationBased on experience and to be negotiated.
