POSITION SUMMARY:The Assistant Manager, Special Events ensures the success of stadium special events by serving as the liaison between the stadium operating departments and the client. Responsibilities will include management of all special event details, participate in capturing additional revenue through auxiliary services, while ensuring labor savings measures are followed. Coordinates and communicates all aspects of special event details. Professionalism, accuracy, attention to detail, communication skills, ability to multi-task, positive attitude and dedicated work ethic is critical. ESSENTIAL FUNCTIONS:
Manage the planning, execution, and supervision of assigned events to include advancements, negotiations and client satisfaction.
Communicate all reasonable client requests and vision for the event to appropriate operational departments. Ensure that all specifications are implemented and executed to established guidelines.
Accurately forecast event expenses including vendors, rentals, and labor according to established guidelines.
Ensure the proper use of event spaces, furniture, and equipment.
Plan and develop BEO’s, production notes, event timelines, and services utilizing the Sales and Event system according to client requirements and established guidelines.
Manage client satisfaction through the smooth execution of all assigned events.
Ensure that all special events adhere to stadium policies, fire department regulations, permitting and other applicable government regulations.
Assist Event Sales team with site visits.
Finalize and review all billing for actualized special events.
Exceptional follow through; taking client events from contract to successful completion.
Cross train as necessary for all events taking place at stadium inclusive of LAFC, Angel City, concerts and additional major events.
Other duties as assigned by Supervisor/Management.
QUALIFICATIONS:The individual must possess the following knowledge, skills, and abilities and be able to explain and demonstrate that he or she can perform the essential functions of the job, with or without reasonable accommodation, using some other combination of skills and abilities.
Bachelor’s degree in Hospitality, Events or related business discipline, or equivalent experience required.
Minimum of 2 years event management experience required.
Excellent written and verbal communication skills required.
Detail orientated with great time management and administration skills.
Proficiency in the following software required; MS Outlook, Word, Publisher, Excel, PowerPoint, and CAD or equivalent systems.
Passion for hospitality and events.
Takes ownership and accountability of projects and events.
Highly resourceful, organized, personable, refined, and positive interpersonal skills required.
Ability to anticipate customer needs and develop long-lasting client relationships while working with high-end customers, brands, and clients.
Creative and innovative thinker; creating themes and upscale events for our customers.
Flexible work schedule with the ability to work nights, weekends, and holidays as the event calendar requires.
