Sunderland AFC is looking to appoint a Administration Assistant within their Conference and Events team based at the Stadium of Light. Reporting to the General Manager and Executive Head Chef, the primary focus is to ensure the smooth administration of Front of House staffing requirements and Back of House administration is monitored and controlled.
The key responsibilities of the Administration Assistant role include:
Liaise with internal and external customers as required.
To be the key interface between managers and department and between Stadium and Black Cat House.
Respond to both written and telephone enquiries, including drafting correspondence as required.
Assist with matchday administration.
Assist with general day to day administration duties across the Conference and Events department, working as required within the following areas:
Kitchen (assisting the Executive Head Chef)
Conference and Banqueting – General manager support
Sales Office – event coordination detail
Departmental resource is planned and coordinated in line with business needs.
Assist with processing the weekly wage transactions.
Assist with maintenance of keeping records up to date, including staff details and SOP’s.
Assist with staff induction and the preparation event and relevant documentation.
Collect mail, sort and prioritise accordingly in liaison with relevant managers.
Co-ordinate department stationery and order as required.
Place orders and coordinate deliveries of staff uniforms and name badges.
To apply general administrative duties within the department, e.g., filing, photocopying.
Maintenance of shared server files and databases, including the administration of holiday, absence and sickness records.
Assist with general mail outs.
To work matchdays and special events as required.
Always understand and comply with General Data Protection Regulation (GDPR).
Applicants should be highly proficient in Microsoft packages, e.g., Word, Excel, PowerPoint and Outlook. To have excellent communication skills. To be an efficient organiser, able to deal efficiently and effectively with all administration duties. To have the ability to work under pressure, prioritise workload and meet deadlines. The ability to communicate effectively and professionally with other departments at all levels. Experience is required of working in a fast-paced environment with the ability to work on your own initiative whilst managing a varied workload.
