Job description
Founded in 1882, Tottenham Hotspur Football Club is an English Premier League Club, based in North London.
Led by the late great Bill Nicholson, the Club became the first in England to win the League and FA Cup Double in 1961, and the first in the UK to win a European Trophy two years later. JOB PURPOSE:
To support the operations and logistics of the Academy Recruitment department. The Academy Recruitment Administrator is responsible for overseeing the daily administration of the Recruitment Department. They are responsible for ensuring all trialists registrations are completed in full compliance with PLYD rules. They support the Head of Academy recruitment with tracking the deployment of scouts, managing scout reports, and ensuring all travel and accommodation provisions remain in budget.
KEY RESPONSIBILITIES
Send and manage fixture responses/requests for Scouts.
Co-ordinate Scout ticket requests U9-U18.
Track Scouts fixture coverage across the course of the season.
Liaise with Scouts regarding game confirmations and changes to games.
Co-ordinate travel for national Scouts
Booking Scouts’ accommodation, travel and logistics; maintain accurate financial records and tracking against budget throughout the season.
Support the Academy Operations & Administration department with new Schoolboy registrations.
Support the Head of Academy Operations & Administration and the Club Football Secretary with new Scholar signings.
Coordinate and attend Recruitment departmental meetings; ensuring accurate minutes are recorded and distributed.
Support the Operations & Administration department with CPD records for Recruitment
Coordinate Recruitment CPD
Liaise with the HR department to ensure all Scouts have appropriate DBS and safer recruitment checks.
Support the Operations & Administration department with maintaining personnel files for Recruitment staff.
Ensure all club Recruitment staff and part-time scouts are registered on PL CPS intranet system.
Assist the Head of Academy Recruitment with budget planning and tracking.
Complete all trial related paperwork for incoming trialists, ensuring full compliance with PL YD Rules and clear internal comms to the MDT on trialist whereabouts.
Assisting with kit and business cards, onboarding for Academy recruitment
Ensuring accurate tracking of trialist ensuring full compliance with PL YD Rules and clear internal comms to the MDT on trialist whereabouts.
Oversee the administration and logistics of trialist inductions, reviews and feedback timelines.
PERSON SPECIFICATION
QUALIFICATIONS
Essential
Educated to GCSE level, minimum grade 7 in English & Math (or equivalent)
Desirable
Educated to degree level
SKILLS & EXPERIENCE
Minimum of two years in an administrative role within an elite sports organisation or similar environment.
Ability to plan and organise schedules, meetings and take formal minutes.
Experience of working under pressure and to tight deadlines in a fast-paced office environment.
Highly developed communication and interpersonal skills.
Excellent organisational and time management skills.
Excellent IT skills, including Outlook and Excel.
