Part of a multi-disciplinary team providing medical care and performance services to men’s Academy and women’s 1st Team players, you will have delegated responsibility for the efficient administration of the medical and performance services. Working in close support of our sports physicians, physiotherapists and sports scientists to set up clinics, deal with enquiries, book appointments and [if required] chaperone players, arrange prescriptions, type letters / reports and, update medical / performance records.

Your Impact
Action player referrals and act as the focal point for their management with external medical agencies including maintaining referrals register, sending referral letters, notifying players plus the Operations Team of referral appointments, hastening of appointments and actively ensuring players and medical staff are kept informed of progress. This includes arrangements pre-season screenings along with the timely communication of reports [in accordance with MCFC policy and GDPR requirements] to relevant practitioners.
Ensure medical records are maintained in accordance with MCFC Academy policy, GMC and GDPR requirements at all times. This includes administrator duties for medical IT system including creating accounts for new staff, password resets etc. Routine housekeeping of IT systems including managing patient records when players are transferred between clubs.
Coordinate MCFC Academy / MCWFC 1st Team pre-signing medicals with MCFC Academy / MCWFC doctors and clinics. Ensure results are communicated in a timely manner.
Support MCFC Academy / MCWFC Doctors to ensure all medicines are stored in in accordance with MCFC policy, GMC and GDPR requirements with regular auditing.
Adhere to standards in relation to medical ethics, medico-legal requirements and patient confidentiality.
Assist the Performance Administration Manager with complaints and direct to the appropriate person for response.
Work flexibly and, provide out-of-hours, holiday and sickness cover across all areas of the Performance Administration Team’s scope of responsibility as part of a rota system.
Provide efficient PA support to the MCFC Academy Director of Performance & MCWFC Head of Performance including:
Being the first point of contact for incoming emails, letters and telephone calls and then responding; personally, forwarding to appropriate colleagues as appropriate, to ensure a timely and professional responses
Managing the diary and scheduling of meetings in a manner that makes the most efficient use of time and availability
Arrange meetings, take accurate minutes and circulate them in a timely manner
Arrange travel & hotels in a timely, cost effective and appropriate manner
What we are looking for
Essential
Extensive administrative experience in a healthcare setting
Possess [or ready to work] toward Medical Administration qualifications (e.g., AMSPAR)
Knows, understands, and displays full commitment to patient care and excellent customer service
Highly IT literate, including Outlook, Word, Excel, PowerPoint with experience of working with databases, audio typing and dictation
Ability to observe and maintain confidentiality and manage information with discretion
Highly organised and attentive to detail
Flexible approach to working including evenings and weekends
Desirable
Experience working in an elite / professional sport setting
